Work Scholar Obligations


As a reminder, there are time limitations and sacrifices that you must be prepared to make as a work scholar.  Please read the following information and responsibilities carefully and note that you must be present beginning on Saturday, December 2nd, at 4 PM 
 

Conference Team:

As a member of this team, you play a vital role in assisting our staff to ensure the conference runs smoothly.  Because you will be monitoring sessions, you also have a unique opportunity to meet and work with speakers and participants alike.  As part of the Conference team, you will not be able to select the sessions of your choice.  However, you will have all of your conference breaks free to network, etc.  To be fair to everyone, sessions will be assigned based upon choices you submit later in the process.  We estimate that out of 6 concurrent sessions, you will be able to participate in at least 3 workshops of your choice.  Every attempt is made to allow you to monitor your first choice pre/post workshop but no promises will be made.  Each person on the conference team will share in the following responsibilities:

As a monitor, you will be responsible for distributing and collecting evaluation forms at the beginning and end of each session.  You will assist the speaker with lighting, time deadlines, etc., and immediately inform our staff of any problems (i.e. audio/visual or medical.)  In this capacity, we will rely on you to be timely.

You will monitor at least one pre and one post-conference workshop, 5 of the 6 concurrent sessions and half of the keynote sessions.
 

Continental Breakfasts:  (only on Thursday, Friday and Saturday)

The Conference Networking Breakfasts are scheduled for Thursday, Friday and Saturday morning and are divided into specific groups such as practice, specialty and geographic region. During this time you will be in charge of some aspect of the breakfast such as helping guide participants to their specific group, watching for long lines, etc.
 

Lunchtime Series:   (only on Thursday and Friday)

The Conference Lunchtime Series are scheduled for Thursday and Friday. These lunches are divided into topics such as How to Get Published  and Personal Coaching. During this time you will be in charge of helping guide participants to the correct location and monitoring the rooms.
 

MANDATORY BREAKFAST MEETINGS

ALL Conference Team Work Scholars are required to meet for breakfast meetings on Thursday, Friday and Saturday mornings as early as 6:00 a.m. During this time, we will provide you with a continental breakfast as we plan the activities and give instructions. It is imperative that everyone be on time! Because we are working as a team, we must be able to count on you.

Each member of the team must plan to arrive ready to work. As a reminder, on Thursday, Friday and Saturday, breakfast will be provided.  However, on all other days, please have your breakfast prior to coming to work so we can get right to business. We realize these may be early mornings for some; however, it is necessary if the conference is expected to run smoothly. Conference participants begin arriving early for breakfast and generally have questions or requests that need to be addressed immediately. Your anticipated cooperation is appreciated!
 
Bookstore Team:

Our Conference Bookstore is a favorite among participants and we expect the excitement to continue! As part of the Bookstore Team, you will work hand-in-hand with our staff to ensure the store runs efficiently throughout the event. Though you will not have your conference breaks free, you will be able to attend the full conference and the sessions of your choice. This team will share the following responsibilities:

Assist in sales at the Conference Bookstore (i.e. helping with customer service, sales, inventory, restocking, and author signings.) The bookstore is open from 7 a.m. until approximately 10:00 p.m. The hours for team members will vary based on the amount of coverage needed.  We will have NICABM staff support in the Bookstore at all times.

The Bookstore Team will help pack up at the end of the conference. You will be needed until approximately 11 p.m. on Saturday, December 9th.
 
Audio Store Team:

As a member of the Audio Store Team, you will be assisting the Audio Store Staff with all aspects of operations including, set up, inventory, sales and pack up.  Please note that the Audio Store provides participants with recordings within hours of the end of a workshop.  You will be working prior to the start of the daily workshops, at each break on Thursday, Friday and Saturday, at the lunch break (your lunch will stagger with other work scholars,) and following the conclusion of the daily workshops.  Friday evening you may have to work until 8:00 p.m.  At no time will a work scholar on this team be required to record a session.  NICABM will be hiring a professional recording team to handle that aspect of the conference.  During the orientation meeting, we will provide ample time to answer any questions you may have as well as to give you detailed instructions and training.  You will be working during the conference breaks; however, you will be able to attend the full conference and the sessions of your choice.

 
Registration Team:

Registering the participants is a very important task because it is the participant's first contact with us at the conference. We would like their experience to be positive and informative; we will rely on you to make this possible. As a member of the Registration Team, you will assist the Registration Manager. You will register participants as they arrive and answer any initial questions they might have. The Registration Desk is also a Help Desk to provide assistance to participants throughout the week.  During the orientation meeting, we will provide ample time to answer any questions you may have as well as to give you detailed instructions and training. You should anticipate working during the conference breaks and may be asked to work longer hours during peak registration times. However, you will be able to attend the full conference and the sessions of your choice.
