NICABM Exhibitor Applicants
There is limited room for exhibitors at the
Psychology of Health, Immunity and Disease Conference. Therefore, requests must be submitted and evaluated by NICABM's committee to insure that we have products and services that are appropriate for our setting and for the content of our conference.
After familiarizing yourself with our program, please send us information regarding your company, including a website or brochure giving details of your product. You may access the necessary forms (see link below) that will give you more relevant information. Please read these carefully before making your application, but do not return these forms until after you receive acceptance as an exhibitor.
If, after reading the forms, you believe that you have an appropriate product/service for this particular conference, please email us at
exhibitors@nicabm.com. We will then evaluate your request and contact you about a continuing application process.
NICABM Exhibitor Policies and Terms
Exhibitors should not begin setting up until they have notified NICABM of their arrival.
Check In: Upon your arrival, please go directly to the Help Desk.
Location of Exhibits: All exhibits will be located on the 1st floor of the Hilton Head Marriott Resort & Spa. Specific placement assignments will be mailed to you prior to the conference along with the location for exhibitors. Each exhibitor will be provided with a skirted table and chair(s). If you have additional needs other than those mentioned (i.e. additional tables, electrical outlets, etc.), please indicate them on the application form.
Hours for Exhibitors:
Wednesday, December 9th
Set up: 10:00 am - 2:00 pm
Exhibiting hours: 3:00 pm - 8:00 pm
Thursday, December 10th
Exhibiting hours: 8:00 am - 8:00 pm
Friday, December 11th
Exhibiting hours: 8:00 am - 8:00 pm
Saturday, December 12th
Exhibiting hours: 8:00 am - 3:00 pm
Tear down: 3:00 pm - 5:00 pm
Restrictions on Use of Space: No exhibitor shall sublet, assign or share any part of the space allocated without the written consent of NICABM. During the hours listed above, exhibitors may use their discretion with regard to actual operating hours. You will not be required to remain open. For example, the posted hours for Thursday are 8:00 am - 8:00 pm, however, you may choose to close during this time frame for any reason. Exhibitors attending the conference alone should make arrangements to provide participants with signs indicating that the booth is temporarily closed (i.e. for lunch, dinner, etc.). NICABM reserves the right to restrict exhibits to a minimum noise level, to limit the display to the space allotted, and to expect suitable methods of operation and promotion.
Terms: The exhibiting fee is $1,200 per booth due on or before
October 2, 2009.
Publicity: A promotional piece will be placed in each participant's Agenda brochure as well as displayed throughout the hotel. Therefore, we will need a concise description of what you will be selling, in 50 words or less, no later than
October 3, 2009.
Discounts: NICABM would like to offer participants an incentive to shop at the exhibitor booths. We are proposing that all exhibitors offer a discount or "free" gift to increase volume and interest. Please communicate your specific discount on the enclosed Exhibitor Information Sheet.
Also, if you will be donating an item for our prize drawing, please forward to NICABM by October 3, 2009.
Conference Attendance: NICABM has made arrangements for
one representative from each exhibit to attend the keynote addresses. Attendance to the pre/post-conference workshops and/or concurrent sessions will require additional registration fees.
